Carex is partnering with a Madison, WI organization as they seek a dedicated and detail-oriented HR Assistant to support various human resources functions, ensuring smooth operations within their department. The ideal candidate will be responsible for a wide range of activities, from  managing interview logistics to coordinating employee programs and maintaining critical HR documentation. This role requires exceptional organizational skills, strong communication abilities, and a commitment to maintaining confidentiality and professionalism. This role is onsite in the Madison area office Monday-Friday. 

What You'll Do:

  • Welcome applicants, employees, and vendors in a friendly, professional manner.
  • Manage the applicant log, schedule interviews, including travel arrangements, administer pre-employment tests, and conduct reference checks.
  • Assist with job postings and advertisements for open positions, including internal listings, web-based postings, and print ads.
  • Oversee temporary staffing by coordinating with agencies, managing placements, and verifying timesheets for payroll.
  • Coordinate the Friends & Family staffing program, handling scheduling, onboarding, and timesheet verification.
  • Administer the uniform program, resolving issues and reviewing billing for accuracy.
  • Follow up with employees after benefit orientations to ensure all necessary paperwork is completed.
  • Scan terminated personnel files and other HR documents in a timely and consistent manner.
  • Maintain HR-related supplies, including handbooks, new employee forms, and benefit documentation.
  • Manage fitness center access and scheduling, including employee orientation to the program.
  • Distribute any remaining bi-weekly payroll checks to employees.
  • Prepare monthly reports such as new hire data, Department of Labor compliance, and other relevant information.
  • Assist with the creation and maintenance of personnel files.
  • Support the E-Verify process for all new hires and audit I-9 forms for accuracy.
  • Help coordinate and implement employee events.
  • Ensure confidentiality and maintain professionalism in all HR-related activities.
  • Support special projects as assigned.
  • Take on additional duties as needed, with occasional adjustments to the work schedule.

What You'll Bring:

  • Education: High school diploma or equivalent required. Additional education, including a degree, is preferred.
  • Experience: One to two years of experience in the human resources field, or a similar combination of education and experience
  • Knowledge, Skills & Abilities:
    • Strong knowledge of human resources principles and practices.
    • Experience with an HRIS database preferred.
    • Effective oral and written communication skills.
    • Excellent interpersonal skills and computer literacy.
    • Must be accurate, detail-oriented, organized, and dependable.
    • Ability to multi-task is critical.
