Recruiting Operations (RecOps): What do these folks really do?

Let’s face it: hiring can be a real challenge. While recruiters are often the faces of the process, there are folks working behind the scenes to make everything run smoothly. That’s where recruiting operations come in!

A couple of years ago while here at Carex Consulting Group we identified a need for a RecOps function, but what in the world does that mean and why did we need it?

Recruiting operations are the folks who ensure that the hiring process is efficient, organized, and effective. They’re all about making sure everything runs like a well-oiled machine, so recruiters can focus on what they do best: connecting with candidates and finding the right fit for them!!

Let’s take a look at what we actually do!

  • Making Things Efficient: Which means looking at the hiring process to spot any bottlenecks or unnecessary steps. We look at ways to streamline workflows, so everything moves along in the most efficient way.
  • Technology: We look at recruitment tools like applicant tracking systems (ATS), sourcing tools, automations, and many other technical solutions that help organize candidate information, knowledge base items and keep everything easily accessible. Additionally, we assess new technologies in the market to see how/if they would best align with our goals.
  • Tracking Metrics: Keeping an eye on important numbers—like how long it takes to fill positions and how satisfied candidates and partners are—with the goal of making things better! This goes hand in hand with reporting via dashboard to provide regular updates on these metrics helping everyone involved understand what is working and what needs tweaking.
  • Enhancing Candidate Experience: We look at ways to best provide consistent and ongoing communication both through the hiring process and after. This may include some of the technology mentioned above: automations, reminders, and tasks set up within our system. Good communication goes a long way in keeping candidates engaged and not to mention building relationships.
  • Training and Development: Providing internal upskilling for staff on best practices for using the tools available to them so they can be more effective and focus on their recruitment efforts. Along with having a library of resources they can review.
  • Keeping It Legal: Not to mention ensuring the hiring process follows all relevant laws and company policies, which helps avoid potential legal issues.

As the job market evolves, RecOps teams will continue to help adapt hiring strategies to meet new challenges. Whether it’s embracing new technologies or enhancing candidate engagement, recruiting operations make sure the recruitment process stays proactive, efficient, and on point!

In a nutshell, RecOps teams work collaboratively with various teams throughout an organization to keep things organized, make sure candidates have a great experience, and help ensure the hiring process runs smoothly. Each organization will have to decide how RecOps can fit into their organization.
