Carex’s partner is in search of a Travel and Expense Lead (Madison, WI) who is responsible for managing complex projects within the travel and expense team, focusing on process optimization, automation, and system efficiency. This role requires collaboration across departments, external partnerships, and the execution of ongoing improvement initiatives in the global travel and expense program.

Position Details

  • Type: Hybrid (onsite at Madison office at least 3 days/week; remote work may be considered for exceptional candidates).
  • Hourly Rate: $30–$33/hour.
  • Hours: 40 hours/week; overtime up to 4 hours/week with manager approval.
  • Travel: Up to 10%, including overnight/weekend travel.

Essential Duties and Responsibilities

  • Process Management:

    • Lead execution of travel and expense processes for Exact Sciences.
    • Triage travel and expense questions, resolving errors efficiently.
    • Identify system issues and communicate solutions to stakeholders.
    • Cross-train with team members for process continuity.
  • Collaboration and Communication:

    • Collaborate with internal departments to understand and meet reporting needs.
    • Communicate effectively with external vendors.
    • Prepare and deliver integration, training, change management, and communication plans for stakeholders.
    • Respond to travel and expense inquiries via shared inboxes promptly and professionally.
  • Reporting and Analysis:

    • Conduct complex report reconciliations across multiple data sources.
    • Use tools such as Tableau and Concur Intelligence to support reporting and analytics needs.
  • Leadership and Strategy:

    • Delegate tasks to team members based on priority.
    • Make independent decisions by synthesizing data from multiple sources.
    • Model inclusion and uphold company values of accountability, innovation, integrity, quality, and teamwork.
  • Administrative Support:

    • Monitor and manage the corporate card program.
    • Support routine and high-priority tasks related to Concur Travel and Expense systems.

Minimum Qualifications

  • Education:

    • Associate’s Degree in Business Administration or related field, OR High School Diploma/GED with 2 years of relevant experience.
  • Experience:

    • 6+ years in a customer-focused role requiring attention to detail.
    • 2+ years in a communications, training, travel, expense, finance, accounting, or bookkeeping role.
    • Basic computer skills (Internet, Email, word processing).
    • Proficiency in Microsoft Office Suite.
  • Other Requirements:

    • Authorization to work in the U.S. without sponsorship.
    • Reliable attendance and ability to work designated schedules.

Preferred Qualifications

  • 4+ years of experience in accounting, corporate card administration, or expense reimbursement.
  • 4+ years working with SAP Concur Travel and Expense systems.
  • 2+ years of experience managing corporate credit card programs or working in Tableau, Concur Intelligence, Decision Source, or similar tools.
  • Experience in sourcing and vendor collaboration.
  • Advanced proficiency in Excel for data summarization and presentation.

Physical Requirements

  • Ability to work on a computer or mobile device for ~90% of a workday.
  • Means to travel between Madison locations as needed.
